Cairies helped VANL move to a new Salesforce instance without losing quality or historical context, ensuring the new system was clean, consistent and ready to use from day one.

 

VANL supports community and voluntary sector (CVS) organisations and volunteering across North Lanarkshire. They also help facilitate partnership working between the CVS and the public sector, supporting stronger collaboration and better outcomes locally.

The challenge

VANL needed to migrate key data from one Salesforce platform to another without losing quality or usability. The priority wasn’t just moving records — it was making sure the new system was trustworthy from day one, with consistent fields, clean data, and historical context intact.

  • Migrate organisation (Account) and contact data into the new Salesforce platform
  • Bring across interaction history so staff retained continuity and context
  • Review key setup areas in the new environment (profiles, licences, and app configuration)
  • Ensure data was clean, consistent and ready for reporting and future use

The solution

Cairies migrated VANL’s Salesforce data with a focus on accuracy and usability. We moved their core records — organisations, contacts and interactions — using clear rules to keep the new system clean and reliable. Historical interactions were retained, and where older interactions weren’t linked to an organisation, we associated them to a single placeholder record so nothing was lost and everything remained searchable. We also standardised inconsistent field values to ensure cleaner reporting and easier day-to-day management.
We also flagged a small set of practical improvements to strengthen the setup for the future, as VANL’s use of Salesforce evolves.

The outcome

VANL successfully moved to their new Salesforce platform with core data migrated and ready to use. The team retained valuable historical interactions, avoided carrying over ceased records, and benefited from more consistent data values for reporting and day-to-day management.
