Salesforce Optimisation | Voluntary Health Scotland case study

Overview

Cairies helped Voluntary Health Scotland clean and restructure their Salesforce data, connect website enquiries, improve email processes, and build reporting—backed by practical role-based training.

Voluntary Health Scotland (VHS) is Scotland’s national intermediary and network for voluntary health organisations. Their work connects and supports a wide range of member organisations, partners and stakeholders, helping improve health and reduce inequalities across Scotland.

The challenge

VHS had been using Salesforce for many years, but it wasn’t being used consistently across the team. Data was out of date, processes were disconnected, and staff confidence varied depending on individual experience. As a result, Salesforce wasn’t providing the visibility or efficiency the team needed day to day.

VHS also wanted to strengthen how enquiries and communications were handled, making sure web form submissions fed into Salesforce and email marketing was managed through their email tool.

The objective

  • Improve data quality so staff can trust what they see in Salesforce
  • Connect key processes so work is tracked in one place, not across spreadsheets and inboxes
  • Make it easier for staff to work in Salesforce day to day (including email integration)
  • Ensure website form submissions flow directly into Salesforce and into their email marketing tool
  • Support better segmentation and reporting for communications and campaigns
  • Upskill the team so Salesforce becomes part of everyday working

The solution

  • Cleansed, deduplicated and restructured VHS data, creating clearer segmentation to support reporting and communications
  • Set up Outlook integration and provided guidance so email activity could be managed alongside records in Salesforce
  • Connected website forms to Salesforce so enquiries, sign-ups and applications are captured consistently
  • Reviewed email marketing processes and recommended a clearer approach for data management, segmentation and reporting
  • Built practical reports and dashboards to give the team visibility across key areas
  • Delivered role-based training (group and 1:1) to help staff feel confident using Salesforce day to day

The outcome

With cleaner data and connected processes, VHS had a Salesforce setup the team could rely on. Staff could find accurate information quickly, track activity consistently and reduce the need for spreadsheets and manual workarounds. Improved reporting gave the organisation clearer visibility across their work, while training helped build confidence and consistency across the team.
